After the Checkpoints: Guidance on Creating Family Conference Forms and Report Cards

When Checkpoints are finished, your next steps are to create family conference forms for each 3-year-old, and then a report card for each 4K student.

Quick step-by-step Troubleshooting on How to Move pictures from phone/tablet to SmartTeach (GOLD) on your laptop

On your phone or tablet (capture + upload to GOLD)

  1. Open the SmartTeach / MyTeachingStrategies (Documentation) app on your phone or tablet.

  2. Tap Add Documentation or Documentation (depending on your app view).

  3. Choose Upload media 鈫 pick Photo Library / Recent Captures / Import from Camera Roll (or take photos directly). Select all the pictures you want to add at once.

  4. After the photos听are imported into the app,听you can attach any notes or quick observations听(optional).

  5. When ready, tap Upload to GOLD (this button appears after you attach media). That uploads the pictures and their attached documentation to your Teaching Strategies GOLD online account, so the files move off the device and into the online site.

Tip: Upload regularly (daily if possible) so your photos are backed up to GOLD in case a device is lost or replaced.


On your laptop (finish documentation, tag children & levels)

  1. Open Teaching Strategies GOLD in a browser and log in to your account.

  2. Go to View Documentation (or the Documentation area) 鈥 the photos you uploaded from the app will appear in the online documentation list for the relevant class/children.

  3. Click the Action Required tab (or filter) to hide documentation already completed (blue checkmarks) 鈥 that leaves items that still need tagging (children, objectives, preliminary level).

  4. Open each remaining documentation item, select the child(ren) who appear, assign objectives/dimensions, and enter preliminary levels as needed. Save each item when finished.


Important visibility notes (how items show on phone/iPad vs laptop)

  • Items you upload from the phone/tablet app will appear on the GOLD online site and can be finished/edited from the laptop.

  • If you create or complete documentation on the laptop, that documentation will not necessarily appear back in the mobile app鈥檚 list on the phone/iPad (the app shows documentation captured/uploaded from that mobile device). In other words, the mobile app primarily shows items captured on that device; the full online GOLD site (browser) is the master view. (This matches how the app and online documentation sync; upload from the device pushes to GOLD online.)


A short checklist you can follow every time

  • Take/select photos on phone/tablet.

  • In SmartTeach app: Add Documentation 鈫 Upload media 鈫 select all photos you want loaded onto your laptop.

  • Tap Upload to GOLD (wait for upload to complete).

  • On laptop: Log in 鈫 View Documentation 鈫 Action Required 鈫 tag children, objectives, levels 鈫 Save.
